Ownership & Teams

This page covers the human side of project management: how to transfer ownership, how invitations and roles work, what it means to leave a project, and what happens when the project Owner deletes their account.

Transferring ownership

Ownership is a big deal — it comes with billing responsibility, the ability to delete the project, and the final say on governance. Because of that, transferring ownership is a two-step process: the current Owner makes an offer, and the recipient must actively accept it.

How it works

  1. Go to Settings → Ownership (Owner only).
  2. You can only transfer to someone who is already a Project Admin — if you want to transfer to someone else, promote them first.
  3. If you're the one currently paying for the subscription, you'll be asked whether you want to keep paying or cancel the subscription when the transfer completes.
  4. The recipient gets a notification and has 7 days to accept or decline.
  5. On acceptance: you become a Project Admin, and the new Owner takes over. The offer is atomic — there's no window where the project has zero owners.
tip

If no one is a Project Admin yet, go to Settings → Team, find the member you want, and promote them before initiating the transfer.

What happens to billing during a transfer

Ownership transfer does not automatically move the subscription. After the transfer:

  • If you chose to keep paying: you remain the payer as a Project Admin. Nothing changes on billing.
  • If you chose to cancel: your subscription will run until the end of the current billing period, then end. During that time, anyone with billing access can initiate a takeover to keep the project's subscription uninterrupted.

See Billing & Payers for details on the takeover flow.

Inviting team members

Any Owner or Project Admin can invite new members. Here's what to know:

  • Invitations expire after 14 days. If the recipient hasn't accepted by then, they'll need a fresh invite.
  • You can invite someone as a Member, Billing Admin, or Analytics Admin. You cannot invite someone directly as Owner or Project Admin — ownership is transferred from existing roles.
  • If an invite's role needs to change before it's accepted, you can update it — the recipient will get a refreshed email showing the new role.
info

Once someone accepts an invitation, their role is set. If you need to change it later, use the team management page.

Leaving a project

Any team member — except the Owner — can leave a project from the team settings page.

Before you leave, Fren One will show you the consequences specific to your situation:

  • If you're the only verified admin of one or more communities in this project, those communities will begin the 30-day coverage countdown after you go. You'll see exactly which communities are at risk.
  • If you're the payer, the subscription will be cancelled at the end of the billing period unless someone else takes it over.

After you leave

  • Your verified admin status on communities is preserved. You keep your standing as a platform admin for any community you were verified on — those communities just won't count your verification toward this project's coverage anymore.
  • You will no longer have access to the project's dashboard, analytics, inbox, or settings.
  • You cannot re-join automatically. Someone on the project must send you a new invitation.
warning

If you leave and are the sole verified project member for a community, that community will start the 30-day countdown toward automatic detachment. Other verified admins of that community — even if they're not on your project — can then claim it.

Coming back after leaving

The only way back into a project after leaving is to receive a new invitation from an Owner or Project Admin. Accepting the invitation restores full access according to the role you're invited with.

When the Owner deletes their account

If the project Owner deletes their Fren One account, ownership passes automatically to the most appropriate remaining team member — no consent is required, because the alternative (an ownerless project) is worse.

The heir is chosen in this order:

  1. The Project Admin with the most community coverage, or the longest tenure if coverage is equal.
  2. If there are no Project Admins, the next most active member by the same criteria.

The new Owner receives an email explaining what happened and linking to the Ownership settings page in case they'd prefer to transfer ownership to someone else or delete the project.

info

The departed owner's billing card is not automatically charged past their current billing period. See Billing & Payers for how payer continuity is handled.
